City Clerk's Office Programs and Services

The City Clerk's Office provides a variety of services. Some are performed only by the City Clerk, acting as an executive officer; however, the majority are performed by all staff members in a team-oriented atmosphere.

Some of the key responsibilities and functions of the City Clerk's Office include the following:

  • Signs all bonds, ordinances, and resolutions issued by the city.
  • Attests all contracts, agreements, leases, or other instruments to which the city is a party and under which the city assumes any liability.
  • Administers any oath required by law or ordinances of the city.
  • Acts as the official custodian of the Seal of the City and of all records and papers of an official character pertaining to the affairs of the city.
  • Provides seal whenever an Official Seal of the City is required on any official document of the city.
  • Represents the City and the City Commission in all transactions with the Supervisor of Elections pertaining to municipal elections.
  • Prepares and coordinates documentation to support the Commission agenda.
  • Prepares for, arranges, and attends all meetings of the City Commission and keeps minutes of its proceedings.
  • Responds to questions, complaints, inquiries, and public records documentation requests (such as copies of minutes, ordinances, resolutions, agenda backup, etc.) from citizens and city staff.
  • Coordinates appointments made by the Commission to all Advisory Boards and prepares the necessary appointment correspondence and certificates.
  • Serves as liaison between the City Commission, City departments, and the general public.
  • Provides reception duties to the City Clerk's Office, City Manager's Office, and City Attorney's Office.
  • Administers lobbyist registration, including required statements of expenditures made by lobbyists.
